Privacy
Last updated October 13, 2026.
This page explains what ayavex.com, run by Ayavex Solutions in Vancouver, BC, records about visitors and why. We handle personal information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
Analytics (only if you accept)
If you click Accept on the cookie banner, we use Google Analytics 4 to understand which pages and blog posts are read, how far people scroll, roughly where visitors come from (country, referring site) and what device they use. Google Analytics sets first-party cookies (_ga, _ga_*) for this. IP addresses are not stored by Google Analytics 4. Data is kept for 14 months.
If you click Decline, or don't choose, no analytics script is loaded and no analytics cookies are set. You can change your choice at any time with Cookie settings at the bottom of every page. Your choice itself is remembered in your browser's local storage, not in a cookie.
Server logs
Like any web server, ours records each request: IP address, time, page requested, browser type and the referring page. We use these logs to keep the site running, investigate abuse, and count visits in aggregate. Logs are kept for up to 14 weeks on the server, and summarized copies may be kept longer for traffic reporting.
What we don't do
We don't sell or share visitor data, run advertising trackers, or use analytics or server logs to identify individual visitors.
Booking a call
When you book a call with us, we receive your name, work email, company and anything you write in the notes, plus the time you chose. If you arrived through an ad or a link that names its source (for example LinkedIn or our demo platform), we note that source too. We use these only to arrange and prepare the call and to follow up with you. They become a meeting on our Microsoft 365 calendar, and Microsoft emails you a Teams invite. We also record them in our own customer records, which run on our server hosted with DigitalOcean.
Keeping in touch
When you send the Keep in touch form, we receive your name, work email, company, your role and the products you tick (both optional), what you write in the message, and the source you came from, if any. We record them in our customer records, email them to our team, and send you a confirmation from our Microsoft 365 account. We use them only to follow up with you about Ayavex.
Our demo platform
If we give you access to our demo platform (demo.ayavex.com), it records which demos you open and for how long, so we can follow up. Its sign-in page says so.
Both forms use Cloudflare Turnstile to keep automated abuse out: it checks your browser when you submit. Cloudflare handles that check under its own privacy policy; it sets no tracking cookies.
Service providers and where data is stored
We use a small number of providers to run the site and the forms. Each handles data only on our behalf:
- DigitalOcean hosts our server, website and customer records, in San Francisco, USA.
- Microsoft 365 holds our email and calendar.
- Cloudflare runs the bot check on both forms and hosts our demo platform.
- Google provides Google Analytics, only if you accept it.
Some of these providers store or process data outside Canada, mainly in the United States, where it may be accessible to authorities under local law.
How long we keep it
We keep what you send us for as long as we need it for our conversation with you, then delete it. Analytics data and server logs are kept for the periods given above.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent and ask us to delete it. Email us and we will reply within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
Changes to this page
If we change how we handle personal information, we update this page and the date at the top.
